Most independent hairdressers eventually reach the same uncomfortable point: costs have risen, appointments take more time than the price allows, or a full diary still does not produce a healthy income. You know prices need to change, but worry that loyal clients will take it personally.
A thoughtful increase is a normal part of running a professional business. The aim is to make the decision from your numbers, communicate it clearly and give clients enough notice to plan.
Before announcing anything, calculate the gap you need to close. Review product prices, fuel, insurance, card fees, software, training, laundry, tools and the time each service actually uses. Also check whether your current price pays you for non-client work such as travel, cleaning, stock ordering and messages.
Look at demand too. If certain appointments are always full while others generate a weak return, a blanket percentage rise may not be the best answer. Adjusting services individually can create a fairer and more useful menu.
Common approaches include:
Keep the new structure simple enough that you can quote confidently. If it takes a long paragraph to explain every price, the menu probably needs another edit.
For a routine increase, four to six weeks is often enough time for regular clients to understand the change before their next appointment. Very large changes or a complete restructure may deserve longer. Honour any price already confirmed for a specific booking unless your existing terms clearly say otherwise.
Tell clients through the channels they actually use: a direct message or email, a note on your booking system and a visible update on your website or social profiles. Do not rely on one disappearing Story.
Your message does not need a long defence. State what is changing, when it begins and where clients can view the new menu. Thank them for their support, but avoid language that makes the decision sound optional.
“A little update: from 1 November, my service prices will be changing. This review allows me to continue using professional products, invest in my skills and give every appointment the time and care it deserves. You can view the updated price menu here: [link]. Thank you, as always, for supporting my independent business.”
Adapt the wording to sound like you. Clients who value your work generally respond better to calm clarity than to repeated apologies.
Once the notice is sent, check every place an old price could remain:
Inconsistent prices create far more friction than the increase itself.
Some clients will ask why. A short, honest answer is enough: costs and service timings have been reviewed so the business can continue providing a reliable, high-quality service. You do not need to disclose personal finances or offer an individual discount immediately.
If a valued client has a tighter budget, you can help them explore a lower-maintenance service, extend the time between appointments or choose a smaller treatment. That protects the relationship without quietly returning to an unsustainable price.
Freezing prices indefinitely for long-standing clients often creates two businesses: one that is viable for new clients and one that loses money for the people you see most often. A short transition period can be kind, but set a clear end date and write it down.
Track rebookings, cancellations, service mix and average appointment value for the following two or three months. A small amount of change is normal. The useful question is whether the new prices create a healthier diary and allow you to deliver better work without resentment or exhaustion.
Good clients do not expect an independent business to absorb rising costs forever. When the increase is evidence-based, well communicated and reflected consistently, it feels like a professional update rather than an unpleasant surprise.
